The Sr. Payroll Manager is responsible for overseeing and managing all aspects of payroll processing for the organization. This role ensures timely and accurate processing of employee wages, bonuses, deductions, and taxes, while adhering to federal, state, and local payroll laws. The Sr. Payroll Manager will also collaborate closely with the HR and Finance departments to ensure smooth payroll operations and compliance with internal policies and external regulations. This role will require being full-time onsite at our Palo Alto office to support collaborative team dynamics and innovative problem-solving.
Key Responsibilities:
- Oversee the accurate and timely processing of payroll for all US and Canada employees, including salaries, hourly wages, commissions, bonuses, and overtime.
- Ensure all payroll data is accurate, including employee hours, deductions, and benefits.
- Process payroll for multiple locations, international jurisdictions ensuring adherence to deadlines.
- Ensure compliance with federal, state, and local payroll laws, tax requirements, and labor regulations.
- Oversee filing of payroll tax reports (e.g., quarterly payroll taxes, W-2, W-3 forms, etc.).
- Handle employee inquiries regarding payroll, deductions, and discrepancies.
- Maintain accurate records of employee compensation, deductions, tax filings, and other payroll-related documentation.
- Prepare monthly, quarterly, and annual payroll reports for internal stakeholders (HR, Finance, and Executive teams).
- Oversee the operation and maintenance of the payroll software/system (ADP Workforce Now), ensuring data integrity and troubleshooting issues as needed.
- Implement system improvements to streamline payroll processes and enhance efficiency.
- Administer employee benefits (e.g., health insurance, retirement plans, etc.) within the payroll system and ensure proper deductions are made.
- Coordinate with the HR department to ensure timely and accurate updates to employee benefits enrollment, terminations, and changes.
- Assist in 401K Audit and Workers Compensation Audit
- Conduct regular payroll audits to ensure accuracy and resolve discrepancies.
- Reconcile payroll data with general ledger and other financial systems to ensure alignment.
- Identify opportunities for process improvements and implement best practices to optimize payroll efficiency.
- Stay current on changes to payroll regulations, tax laws, and industry trends.
Qualifications and skills
- Bachelor’s degree in accounting, Finance, Human Resources, or related field (preferred).
- 10+ years of payroll experience, including at least 4-5 years in a supervisory or management role.
- Experience with payroll software (e.g., ADP, Paychex, Ceridian, etc.) and advanced proficiency in Microsoft Excel.
- Strong knowledge of federal, state, and local payroll laws, tax regulations, and compliance requirements.
- Excellent organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- High level of attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive employee information with discretion.
- Strong communication skills, both written and verbal, with the ability to collaborate across teams and interact with employees at all levels.
- Ability to analyze complex payroll data and resolve discrepancies efficiently.
